Office Manager / Practice Operations Lead
Location: Local (mostly remote/hybrid)
Schedule: Monday–Friday | Consistent weekly support (fixed compensation, not hourly)

The Role
This role supports the smooth day‑to‑day functioning of the practice. Nearly all responsibilities can be performed remotely (phone, email, scheduling systems, and computer‑based tasks).
What matters most to us is consistency and reliability, whether the role is filled by a local professional or a fully remote individual or company.
For a local professional, this role is primarily remote, with the option to be on‑site 1–2 half days per week, if desired.
Workload naturally ebbs and flows throughout the day and week, so we offer fixed monthly compensation rather than tracking hours.
Key Responsibilities
Front Office & Client Experience

Serve as the primary point of contact for clients (email, phone, in‑person if on-site)

Ensure a warm, calm, and professional client experience from first contact through follow‑up

Manage scheduling support and coordination with therapists
Practice Operations
-
Oversee daily administrative workflows and ensure systems are running smoothly

Coordinate onboarding/offboarding of team members (non‑clinical)

Maintain internal systems, documents, and office procedures
-
Communicate clearly with the owner regarding priorities, issues, and updates
Coordination & Oversight (Non‑Billing)
-
Interface with SPRY EHR as needed (no direct billing work required)
-
Track basic operational metrics and flag issues proactively
-
Support compliance, forms, and general administrative needs
Culture & Stability

Be a consistent, dependable presence for the team

Hold confidentiality, professionalism, and discretion at a high level

By the 90-day mark, the right person in this role will:

Have a strong grasp of the practice’s rhythm, systems, and communication style

Be handling day-to-day operations with minimal direction

Proactively flag issues and offer thoughtful solutions

Maintain smooth, calm, and professional client communication

Be someone the owner and team trust to “hold the container” of the practice
At that point, the role should feel steady, collaborative, and sustainable for everyone involved.

About our Practice
We are a close‑knit, values‑driven wellness and therapy practice that prioritizes human connection, calm professionalism, and thoughtful care — both for our clients and our team. Our office runs best when there is a steady, grounded presence behind the scenes who understands how much the feel of a practice matters, not just the logistics.
We recently transitioned billing to SPRY, so this role is not a billing position. Instead, we are seeking an exceptional Office Manager / Practice Operations Lead who can hold the operational container of the practice with consistency, warmth, and strong organizational instincts.
This position is replacing a long‑term office manager, so we are looking for someone who values stability, takes pride in ownership, and wants to become an integral part of a small, collaborative team.
